Data protection for your application

The controller for the purposes of the General Data Protection Regulation (GDPR) is deZem GmbH, Wilmersdorfer Straße 60, 10627 Berlin.

1. Purpose and Legal Basis of Data Processing

We process the personal data you provide during the application process (e.g., name, contact details, CV, certificates) solely for the purpose of managing the recruitment process and evaluating your suitability for the respective role. The legal basis for this processing is Art. 6(1)(b) GDPR (steps prior to entering into a contract) as well as the BDSG.

2. Access to Your Data (Recipients)

Within deZem GmbH, access to your personal information is strictly restricted to staff who are directly involved in your specific recruitment process. Your data is processed within our system (Odoo) for the purpose of applicant management.

3. Retention Period, Deletion, and Anonymization

• In the Event of a Rejection: If we are unable to offer you the position, we will retain your application files for a period of 3 months. This retention period allows us to address any follow-up inquiries or legal clarifications related to the application process.
• After the 3-Month Period:
  • All physical or digital application documents (such as CVs, cover letters, certificate PDFs) as well as direct contact information (phone numbers, email addresses, or professional profiles like LinkedIn or GitHub) will be permanently deleted.
  • The remaining system record will be completely anonymized, replacing your name with a generic placeholder. These anonymized records remain in our system and are utilized solely for internal statistical purposes (e.g., evaluating application volumes). It will no longer be possible to trace this data back to you.

4. Your rights

You have the right to request access to the personal data we store about you. Subject to statutory requirements, you also have the right to rectification, blocking, deletion, or restriction of the processing of this data.
